Provider Map (“we”, “us”, “our”) operates the online directory at providermap.com.au, which helps people find NDIS-registered providers across Australia. This policy explains how we handle personal information and how we comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). By using our website you agree to the handling of your information as described below.

Who we are

Provider Map is an independent provider directory. We are not part of, or endorsed by, the National Disability Insurance Agency (NDIA). We do not deliver disability supports ourselves — we help participants, families, and support coordinators discover and contact registered providers.

Information we collect

We collect personal information only where it is reasonably necessary for our functions. This may include:

  • Account details— your name, email address, and password credentials when you create an account.
  • Provider claim details — business contact information, ABN, and supporting details you submit to claim and manage a listing.
  • Enquiries— the contact details and message content you send when you enquire about a provider or contact us.
  • Reviews— any ratings or written feedback you choose to publish.
  • Saved providers— listings you bookmark while signed in.
  • Payment details— when you subscribe to a paid plan, payments are processed by Stripe; we do not store your full card details.
  • Usage and analytics data — with your consent, information about how you use the site (see Cookies below).

Provider listing data

Baseline provider information in our directory — such as registered business names, registration groups, and head-office locations — is sourced from the publicly available NDIS Provider Register and other public records. This information is already public. If you are a provider and wish to correct or update your listing, you can claim it or contact us.

How we use your information

We use personal information to operate and improve the directory: to create and manage accounts, verify and process provider claims, deliver enquiries to providers, publish reviews, provide saved-provider features, process subscriptions, respond to your requests, and — with consent — understand and improve how the site is used. We do not sell your personal information.

Cookies and analytics

We use cookies and similar technologies in two categories:

  • Strictly necessary — required for the site to function, such as keeping you signed in, remembering your preferences, and basic Google Analytics measurement. These cannot be turned off.
  • Analytics— optional cookies that help us understand how visitors use the site, via Microsoft Clarity. These are only set with your consent.

You can change your choices at any time using the Cookie settings control in the site footer. Declining analytics cookies will not affect your ability to use the directory.

Third parties we share data with

We use trusted service providers to run Provider Map. Each processes personal information only to provide services to us:

  • Stripe— payment processing for paid plans.
  • Amazon Web Services (SES) — sending transactional and enquiry emails.
  • Vercel— website hosting and content delivery.
  • Google Analytics— measurement of site usage.
  • Microsoft Clarity— analytics of on-site behaviour (consent-based).

When you send an enquiry to a provider, the contact details and message you provide are shared with that provider so they can respond to you.

Overseas disclosure

Some of our service providers store or process data on servers located outside Australia, including in the United States. By using Provider Map you acknowledge that your information may be handled overseas. We take reasonable steps to ensure these providers protect your information consistent with the APPs.

Accessing, correcting, and deleting your data

You have the right to request access to the personal information we hold about you, and to ask us to correct or delete it. To make a request, email us at support@providermap.com.au or use our contact page. We may need to verify your identity before actioning a request.

Security

We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, modification, or disclosure. No method of transmission or storage is completely secure, but we work to safeguard the information we hold.

Complaints

If you have a concern about how we have handled your personal information, please contact us first at support@providermap.com.au so we can try to resolve it. If you are not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

We may update this policy from time to time. The current version will always be available on this page, with the last-updated date shown above.
